Primary Purpose:
Support the Assistant Director of Child Care Partnership in the operation of the Early Head Start Child Care Partnership program and perform general administrative duties as a member of the program’s administrative team.
Qualifications:
Education/Certification:
- High school diploma or GED certificate, some college preferred
Special Knowledge/Skills:
- Ability to type a minimum of 40 words per minute
- Ability to take or record accurate dictation
- Strong communication, public relations, and interpersonal skills
- Proficiency in the use of computers and a variety of software applications, including Microsoft Word, Excel, PowerPoint, and Access
- Strong analytical, oral, and written communication skills
Experience:
- Four years experience in a clerical or administrative support position
- Experience with accounts payable, payroll, and budgets
Major Responsibilities and Duties:
- Model HCDE and Head Start’s mission, vision, and values.
- Work with administrative team to ensure integration and consistent delivery of services.
- Provide administrative assistance to the Assistant Director of Child Care Partnerships and support the daily operation of Early Head Start (EHS) Child Care Partnership (CCP) including preparations for meetings and the coordination of communication with other divisions, groups and individuals.
- Prepare contracts, agreements, Board Agenda items, and other documents as needed for EHS-CCP.
- Monitor invoices to ensure timely payments and receipt of materials/supplies/services.
- Track and report Procurement card (P-card) purchases made by the division to the Purchasing division as required.
- Assist the Assistant Director of Child Care Partnerships with preparing budget amendments and the monitoring of the EHS-CCP budget.
- Solicit in-kind contributions for EHS-CCP.
- Coordinate all travel arrangements and conference registrations for the Assistant Director of Child Care Partnerships.
- Maintain supplies inventory and anticipate the needs for EHS-CCP.
- Maintain good public relations with department personnel, clients and the public.
- Keep informed of and comply with state, federal, and Head Start policies and regulations.
- Maintain confidentiality of information.
- Perform other duties as assigned.
