Primary Purpose:
Responsible for providing value-added services to the Choice Partners cooperative.
Qualifications:
Education/Certification:
- High school diploma or GED certificate, Bachelor’s degree preferred
- Professional certification in purchasing preferred
- Membership in a professional purchasing organization
Special Knowledge/Skills:
- Ability to effectively utilize computers with experience in Microsoft Windows applications (Word, Excel)
- Ability to work with numbers in an accurate and rapid manner
- Ability to organize, prioritize, and meet established deadlines and handle multiple tasks
- Ability to maintain accurate, confidential and auditable records
- Ability to communicate effectively (verbal and written) using proper English grammar
Experience:
Experience:
- Three years accounts receivable or accounting experience
- Experience in account reconciliation
Major Responsibilities and Duties:
- Organize and prioritize daily work assignments to ensure completion of assignments.
- Assist with duties of the Choice Partners cooperative as needed, including:
- Provide excellent customer service and maintain good public relations with cooperative members and vendors.
- Invoice vendors according to accurate velocity reporting from vendor and members.
- Maintain a vendor list assigned to you and bill all vendors on a monthly basis unless there is no usage for the vendor and record accordingly on reporting analysis.
- Maintain accurate vendor files and member files.
- Reconcile all member reporting for annual rebate.
- Serve as liaison between members and vendors, as needed during rebate reconciliation.
- Communicate necessary information to Assistant Director, and Supervisor
- Handle collections for all assigned vendors.
- Process billing adjustments for any billing errors.
- Vendor outreach to provide training on reporting.
- Assist in the Choice Partners Cooperative Annual Vendor Exhibit and quarterly trainings:
- Assist with the development of the theme, including the decorations and invitations
- Assist Contract Manager with the planning and organizing of the CP events.
- Assist in processing RFPs, bids, contracts and renewals as needed.
- Provide feedback to Supervisor and Contract Managers regarding vendor issues.
- Review contracts if need arises for billing purposes.
- Customer Service:
- Maintain good public relations with all parties for Choice Partners.
- Provide excellent customer service to all users regarding all functions
- Maintain confidentiality
- Maintain a positive attitude and a neat and professional appearance that exemplifies confidence and professionalism
- Support Director, Assistant Director, and Contract Managers with administrative requirements.
- Be familiar with and assist with duties assigned to other Choice Partners personnel when necessary.
- Perform other duties as assigned.
